Getting your WhatsApp Business account set up and accessible across every device your team uses should take under an hour. In practice, most businesses spend far longer than that because the login and setup process is spread across three distinct products β€” the mobile app, WhatsApp Web, and the WhatsApp Business API β€” each with its own requirements, restrictions, and quirks.

This guide covers all three in one place. Whether you are setting up WhatsApp Business for the first time on a single phone, adding desktop access for your team, or working through the process of connecting to the WhatsApp Business API through a platform, the steps below will get you logged in and operational without the back-and-forth.

WhatsApp Business vs. Regular WhatsApp: Which Login Do You Need?

Before diving into setup, it helps to be precise about which product you are actually setting up. There are three distinct WhatsApp products for businesses, and each has a different login process.

    ProductBest forLogin method
WhatsApp Business AppSmall businesses, single userPhone number + SMS/call OTP
WhatsApp Web / DesktopMulti-device access from the appQR code linked to mobile app
WhatsApp Business APIGrowing businesses, teams, automationVia an authorised Business Solution Provider (BSP)

If you are a sole trader or small business and want to send and receive messages from a dedicated business number, the WhatsApp Business App is your starting point. If you want to use that same account on a laptop or desktop in addition to your phone, WhatsApp Web is the answer. If you need a shared team inbox, chatbot automation, or bulk messaging, the WhatsApp Business API is what you need β€” and that access is set up through a BSP platform, not through the apps above.

How to Set Up WhatsApp Business App Login

Step 1: Download the WhatsApp Business App

The WhatsApp Business App is a separate application from the regular WhatsApp consumer app. Download it from the Google Play Store (Android) or Apple App Store (iOS) β€” search for "WhatsApp Business" and look for the green icon with a small B in it.

If you already have the regular WhatsApp app installed on the same device, you can run both simultaneously. Android supports this natively. On iPhone, iOS 18 and later allows two WhatsApp accounts on one device; older iOS versions require a separate physical device.

Step 2: Register Your Business Phone Number

Open the WhatsApp Business App and tap "Agree and Continue." You will be prompted to enter a phone number.

    Important number requirements:

    • The number must be able to receive SMS or a voice call for verification
    • The number cannot currently be registered on any other WhatsApp account (personal or business). If it is, you must first delete the existing WhatsApp account tied to that number.
    • A landline number can be used β€” choose the "call me" option instead of SMS for the OTP

Enter the number in full international format (country code + number). WhatsApp will send a 6-digit OTP via SMS. Enter the code to verify ownership.

If the SMS does not arrive within 60 seconds, tap "Resend SMS." If you are using a landline or VOIP number, tap "Call me" to receive the code via automated voice call instead.

Step 3: Set Up Your Business Profile

After verification, you are prompted to set up your business profile. This is distinct from a personal WhatsApp profile and includes fields specific to businesses:

    • Business name β€” visible to all customers who message you
    • Business category β€” choose the category that best describes your business
    • Business description β€” a short text explaining what your business does
    • Address, website, email β€” optional but recommended for discoverability
    • Business hours β€” set when you are available to respond

Complete all relevant fields. Your business profile is what customers see when they open a chat with you, and a fully completed profile builds trust. A business that shows a verified name, category, and website immediately signals legitimacy compared to a profile showing only a phone number.

Step 4: Configure Away Messages and Greeting Messages

Two automation features are available in the WhatsApp Business App that you should set up immediately after login:

Greeting message: Sent automatically when someone messages you for the first time or after 14 days of inactivity in the chat. Set this to acknowledge the customer and set expectations for response time.

Away message: Sent when you receive a message outside your set business hours. Configure this to confirm receipt and indicate when the customer can expect a reply.

Both are under Settings β†’ Business Tools β†’ Greeting Message / Away Message in the app.

How to Set Up WhatsApp Business Web Login

WhatsApp Web is not a separate account β€” it is a browser or desktop app interface that mirrors your WhatsApp Business App account. This means your WhatsApp Business App must be set up first, as described above.

    Logging In to WhatsApp Web

    1. Open a desktop browser and go to web.whatsapp.com
    2. On your phone, open the WhatsApp Business App
    3. Tap the three-dot menu (Android) or Settings (iPhone) and select "Linked Devices"
    4. Tap "Link a Device"
    5. Hold your phone up to the QR code displayed on the browser screen
    6. The screen will update to show your conversations once the scan is complete

You are now logged in to WhatsApp Web. The desktop interface mirrors your phone inbox and lets you send and receive messages, view media, and manage conversations from a larger screen.

    WhatsApp Business Desktop App

In addition to the browser version, WhatsApp offers a standalone desktop application for Windows and macOS. The login process is identical to the browser version β€” scan the QR code from your phone under "Linked Devices."

The desktop app generally offers better performance than the browser version, supports native notifications, and does not close when you switch tabs. For anyone spending significant time responding to WhatsApp messages from a desktop, the app is preferable to the browser.

    Multi-Device Login

WhatsApp's multi-device feature allows you to link up to four additional devices to your account, and each device operates independently once linked. This means WhatsApp Web and the desktop app continue working even if your phone is offline or has low battery.

To link additional devices, return to "Linked Devices" in your WhatsApp Business App and scan the QR code for each device you want to add.

Limitations of WhatsApp Web and multi-device:

    • Only one person can be logged into a given WhatsApp Business number at a time via the app
    • WhatsApp Web is still a mirror of a single account β€” it is not designed for team use with multiple agents
    • Broadcast lists sent from the app are not accessible via WhatsApp Web

For businesses that need multiple team members to manage the same WhatsApp number simultaneously, the WhatsApp Business API with a shared inbox is the correct solution, not WhatsApp Web.

WhatsApp Business API Login and Access Setup

The WhatsApp Business API is a fundamentally different product from the app. It is accessed programmatically and managed through an authorised Business Solution Provider (BSP) platform. There is no app-style login with a phone number and OTP β€” instead, you connect your business number to a platform that handles API access on your behalf.

What You Need Before You Start

    • A Facebook Business Manager account (Meta Business Suite) with business verification completed or in progress
    • A phone number that is not currently registered on WhatsApp or WhatsApp Business β€” this will become your API number
    • A BSP platform account (such as Greenbubble) β€” this is where you will manage the setup

Step 1: Create a Meta Business Account

If you do not have one, go to Meta Business Suite and create a business account using your Facebook login. Provide your business name, email address, and business website. Meta will ask you to verify your business β€” submit your business registration documents or other requested verification materials. Verification is required for higher messaging tiers and for using certain template categories.

Step 2: Set Up a WhatsApp Business Account in Meta

Inside Meta Business Suite, navigate to "WhatsApp Accounts" and add a new WhatsApp Business Account (WABA). Each WABA can have multiple phone numbers attached to it. The WABA is the business-level container for your WhatsApp API access and is linked to your Meta Business account.

Step 3: Add and Verify Your Phone Number

Add the phone number you want to use for API access. As with the regular app, the number must be able to receive an OTP via SMS or voice call for verification. Numbers already registered on WhatsApp must be deleted from WhatsApp before they can be registered on the API.

Enter the number, complete OTP verification, and the number will be associated with your WABA.

Step 4: Connect to a BSP Platform

The final step is connecting your WABA and phone number to your BSP platform. In Greenbubble, this is done by granting the platform access to your Meta Business account through a guided embedded signup flow β€” a popup that walks you through connecting your existing WABA or creating a new one, without requiring you to manually transfer credentials.

Once the connection is complete, your WhatsApp number is live on the API and accessible through the Greenbubble dashboard. You can then set up your WhatsApp chatbot, configure your shared team inbox, build bulk broadcast campaigns, and start sending approved message templates to your contacts.

Common WhatsApp Business Login Issues and How to Fix Them

"This phone number is already registered"

This means the number is currently active on another WhatsApp or WhatsApp Business account. To resolve it, open the existing WhatsApp app where that number is registered, go to Settings β†’ Account β†’ Delete My Account, and delete the account. Then return to your WhatsApp Business login and re-enter the number. Note that deleting an account removes all associated message history.

    OTP Not Arriving

If the 6-digit verification code does not arrive:

    • Wait 60 seconds before requesting a resend
    • Check that your number can receive international SMS (relevant if you are in certain countries or using a VOIP number)
    • Switch to the "Call me" option for voice-delivered codes
    • Make sure the number is entered correctly in full international format

    WhatsApp Web QR Code Expired

The QR code displayed on WhatsApp Web expires after about 20 seconds if not scanned. Click or tap the refresh icon on the QR code screen to generate a fresh code, then scan immediately.

    Linked Device Showing Offline

If your linked device (WhatsApp Web or desktop) shows offline or stops syncing, it usually means your primary phone has been disconnected from the internet for an extended period. Reconnect your phone to the internet and the linked devices should resync. If the issue persists, unlink the device and re-link it by scanning a new QR code.

Number Already Associated With a WABA

If you try to register a number for the WhatsApp Business API and get an error that it is already associated with a WhatsApp Business Account, you need to remove the number from the existing WABA in Meta Business Suite before adding it to a new one.

    Securing Your WhatsApp Business Login

Once your WhatsApp Business account is set up, taking two minutes to enable two-step verification significantly reduces the risk of unauthorised account access.

Enable Two-Step Verification on the App

Go to Settings β†’ Account β†’ Two-step verification β†’ Enable. You will set a 6-digit PIN that is required whenever you register your number on a new device. WhatsApp will periodically ask you to enter the PIN to keep you familiar with it. You can also add an email address for PIN recovery.

This PIN is separate from the OTP used during initial registration. It is a persistent second factor that prevents someone who intercepts your OTP from successfully logging into your account on a new device.

    For the WhatsApp Business API

API access security is managed at the BSP platform level. Use strong passwords and enable two-factor authentication on your BSP account and Meta Business Manager account. Restrict who in your organisation has admin access to the WhatsApp Business Account in Meta Business Suite, and review connected apps and platforms periodically to remove any that are no longer in use.

    FAQs About WhatsApp Business Login

Can I use WhatsApp Business on two phones at the same time?

Not with the same number. The WhatsApp Business App is tied to one primary device per number. You can use WhatsApp Web or the desktop app as secondary devices, but these mirror the same account. For true multi-device concurrent access where different people manage the same number, you need the WhatsApp Business API with a shared inbox.

Can I log in to WhatsApp Business without a SIM?

You can register using a VOIP or landline number by selecting the "Call me" option for OTP delivery. Once the number is registered, the app does not require a SIM to operate β€” it uses your internet connection (WiFi or mobile data). The SIM or VOIP line is only needed during initial registration.

What happens to my messages if I switch phones?

If you switch to a new phone, your message history can be backed up to Google Drive (Android) or iCloud (iPhone) and restored during the setup on your new device. Log in to WhatsApp Business on the new phone using the same number, and restore from backup when prompted.

Can I use the same number for WhatsApp Business and the WhatsApp Business API?

No. A phone number can only be registered on one WhatsApp product at a time β€” the personal app, WhatsApp Business App, or WhatsApp Business API. If you want to migrate a number from the app to the API, you must delete it from the app first.

How do I add multiple users to a WhatsApp Business account?

The WhatsApp Business App supports only one active user per account. To have multiple team members handling conversations on the same number, you need the WhatsApp Business API accessed through a platform that provides a multi-agent shared inbox. Each team member logs into the platform (not the WhatsApp app) with their own credentials and handles conversations from there.

Do I need a Facebook account to use WhatsApp Business?

For the WhatsApp Business App, no. You can set it up with just a phone number. For the WhatsApp Business API, yes β€” you need a Meta Business Manager account, which requires a Facebook account, to manage your WhatsApp Business Account and phone numbers.

Take Your WhatsApp Business Setup Further with Greenbubble

Getting logged in is the starting point, not the destination. A WhatsApp Business number without the right infrastructure behind it quickly becomes a bottleneck β€” messages pile up in a single app inbox, team members fight over one phone, and there is no way to automate responses or track campaign performance.

Greenbubble is an official WhatsApp Business Solution Provider that handles the API setup, gives your team a shared inbox where multiple agents can manage conversations simultaneously, and lets you build WhatsApp chatbot flows that respond to customers automatically around the clock. When you are ready to scale, bulk broadcast campaigns let you reach your entire opted-in contact list in minutes.

See Greenbubble's plans and pricing and set up a professional WhatsApp Business presence that your whole team can work from.
